How to use a template well
- Itemise. A lump sum gets argued about. Separate lines do not.
- Put the exclusions in the notes. "Patch and paint not included" prevents the worst conversation in the trade.
- Delete the sample lines. Leaving another business's numbers on your quote is the fastest way to look unprofessional.
- Add a validity window. "Quote valid 14 days" is normal and expected.
- Keep the wording for next time. Once you have notes and terms you like, reuse them rather than rewriting.
The catch with a PDF template
A downloaded template cannot add up, remember your customers, or total your tax. You fill it in by hand, and the maths is yours to get right. That is fine occasionally; it is slow when you quote every week.
